Why have proposal forms traditionally been used?
Traditional event insurance often relies on proposal forms, risk plans, site maps and several rounds of email so an insurer can understand the event before deciding whether to provide cover and on what terms.
That process can be appropriate for unusual or complex events. For many common events, however, it can create unnecessary administration when the main risk details are already clear.
How is Zipcova’s process different?
Zipcova’s partner insurer draws on experience from more than 90,000 events written across 40+ countries. For many eligible events, that portfolio experience allows pricing to be based on a small number of practical details rather than a lengthy traditional proposal form.
The difference is in the process. Cover remains subject to the event information provided, the applicable underwriting rules and the policy terms, conditions and exclusions.
What details are usually needed for a live price?
For many eligible events, the starting information is straightforward:
- The type of event being organised.
- The event location.
- The required policy dates.
- The expected attendance.
- The public liability limit required.
- Any interested party or certificate requirements.
Why accurate event details still matter
A shorter quote process does not reduce the organiser’s responsibility to provide accurate information. The event type, attendance, location, dates and activities can affect pricing, eligibility and the terms offered.
If the event changes before cover is completed, update the quote information so the price and documentation reflect the event you are actually planning.
When might more information be needed?
Some events require additional underwriting review. This may happen where the event includes unusual activities, larger crowds, temporary structures, complex site arrangements, alcohol service, fireworks or other features that need closer consideration.
Where additional information is required, Zipcova can ask for the specific details needed rather than requiring every organiser to complete the same lengthy documentation at the start.
Activities requiring review
Some activities are excluded, while others require specific arrangements or appropriately insured third-party suppliers. Use the central activity list below for the current information.
What about planning meetings, site visits and event documents?
PAYG cover includes planning-related meetings, site visits, supplier meetings, tastings, setup and pack-down that take place within the selected policy period. Choose dates that reflect the complete period requiring cover, not only the public event dates.
If you have already prepared a risk plan, site map or other event documents, they can still be useful for your planning and may be reviewed where relevant. They simply are not required for every eligible event before a live price can be provided.

Understanding event public liability insurance
The streamlined quote process changes how information is collected. It does not change the need to understand what the policy is designed to cover and what responsibilities remain with the organiser.
